Terms and Conditions 2014


Acceptance of Terms and Conditions


All bookings accepted by Cocoon Stockholm are subject to these Terms and Conditions 2013 that are deemed to have been accepted in full by the Client. Payment of a Booking Fee also indicates acceptance of these Terms and Conditions 2014.


1. Price


1.1. All prices stated on www.cocoonstockholm.com include taxes.

1.2. Total price for accommodation listed on www.cocoonstockholm.com includes expenses for consumption of gas, electricity, heating and water and as well as the final cleaning.


2. Payment for the stay


2.1. Your booking reservation will be confirmed upon receipt of the Booking Fee. The Booking Fee is a pre-payment that will be made directly online as indicated on each accommodation reservation form.

2.2. The Booking Fee is defined according to the apartment selected, the length of your stay and the number of guests. This amount is clearly indicated in each Booking Preview on our website www.cocoonstockholm.com

2.3. Upon due receipt of the Booking Fee by Cocoon Stockholm, the Client will receive a booking confirmation together with a booking voucher, confirming the Booking Reservation. Such Booking Reservation will be sent directly to the given Client’s email address and includes all information necessary for your arrival in Stockholm.

2.4. The payment of the Booking Fee is processed through a secured payment platform. The majority of the credit cards are accepted.

2.5. Bank transfers may also be accepted. Please contact our office should you select this payment method. Important note: bank transfers can be agreed only for bookings made at least 7 days prior to arrival. This period guarantees that the payment will be correctly processed. Any expense related to the bank transfer shall be paid by the client.

2.6. The Remaining Balance is the outstanding part of the Accommodation Price to be paid upon the Client’s arrival in Stockholm. You will be welcomed by a Cocoon representative at our office located in the central Stockholm – Kungsgatan 69 , 11227 Stockholm or directly at the property address whenever stated in your booking confirmation.

2.7. Cocoon Stockholm is authorized to cancel the booked reservation if the Client failed to pay the Remaining Balance before arrival.

2.8. The accepted payment methods are specified in your booking voucher. Therefore please refer to your booking voucher to find out which payment method is accepted.


3. Security Deposit


3.1. The Security Deposit is an amount specified in your booking voucher and is required for all accommodations. This amount is normally set at a minimum of 3.000 SEK, and often calculated according to the type of accommodation and guarantees of the proper care of the accommodation premises including the furniture and fittings therein. The amount will be secured on your credit card during the check-in procedure by Cocoon Stockholm.

3.2. If no valid credit card is withhold by the client at the check-in will Cocoon Stockholm collect the Security Deposit in cash.

3.3. Cocoon Stockholm has the right to raise the given Security Deposit amount in case the value of the damages will exceed that given value.

3.4. In the event that the accommodation is left in the same condition as it was at the check-in, the Security Deposit will be released to the Client within 7 days upon check out from the apartment.

3.5. If any damage would occur at the apartment during the Client’s stay, including damage to furniture and fittings therein, the Client have to immediately inform the Cocoon Stockholm team. In this case the Security Deposit shall be retained until such damage is evaluated and repaired. If the apartment is left in a worst condition than it was at the check-in, without any previous communication from the client, the Security Deposit will not be refunded.

3.6. The Security Deposit will also be used in each case where Clients acts against the property rules, such as forbidden smoke, lost keys, not-permitted guests, undone dishes and left garbage in the apartment.

3.7. The withdrawn amount is specified in each apartment facts sheet. The following fee will be charged: left dished, left garbage: 500 SEK; smoke in the apartment: 3.000 SEK; party or noise in the apartment: 3.000 SEK; lost key set: 3.000 SEK.

3.8. Cocoon Stockholm has the right to refuse to check-in Clients who refuse or cannot provide the required Security Deposit.


4. Booking Reservation


4.1. Cocoon Stockholm does its best efforts to offer accurate on-line availability calendars. However, it cannot be guaranteed that when we have processed your booking request, the accommodation is still available. Cocoon Stockholm reserves the right to refuse your booking request and propose alternative solutions, without being responsible for the consequences.

4.2. The confirmation of the booking is conditional on the acceptance of the payment of the service and a security deposit by a credit card or any other accepted payment method.


5. Cancellation by the Client


5.1. If the Client cancels a confirmed booking reservation, in whole or in part, Cocoon Stockholm shall charge the penalties listed below and the Client shall pay (how, but if reduced) the following cancellation fee:

5.1.1. Cancellations that are made less than 15 (fifteen) days prior to an arrival date: 50% (fifty percent) of the total amount due.

5.1.2. Cancellations that are made less than 48 (forty eight) hours prior to an arrival date or «no-show» : 100% (one hundred percent) of the total amount due

5.2. It is strongly recommended that clients purchase holiday cancellation insurance. Any cancellation, including force majeure, will be subject to the aforementioned cancellation policy.

5.3. The prepayment paid for the reservation of the accommodation cannot be reimbursed nor can it be transferred back to the Client under any circumstances, including “force majeure” circumstances.

5.4. In the event that the Client should change the dates of arrival it will be considered as a new stay and it will be subject to new cancellation conditions.

5.5. Bookings cannot be transferred from one accommodation to another.


6. Cancellation by Cocoon Stockholm


6.1. If Cocoon Stockholm is not able to provide the booked accommodation, Cocoon Stockholm reserves the right to transfer the client to a property of similar characteristics (location, price, standard) or superior.

6.2. If no agreement on a Client’s transfer is reached between Cocoon Stockholm and the Client, the Client is authorized to cancel the confirmed booking. In this event Cocoon Stockholm will refund the Booking Fee except the part corresponding to the days that the apartment was used, if this is the case.

6.3. Cocoon Stockholm is under no circumstances liable for any claims raised by the Clients, nor for any damages, losses, lost profits, direct or indirect costs or losses, arising from the cancellation by Cocoon Stockholm.


7. Booking change upon the Client’s request


7.1. The following changes can be made up to 7 days prior to arrival:

7.1.1. Number of guests, depending on the accommodation capacity.

7.1.2. Additional nights, depending on the accommodation availability calendar. In the case the numbers of guests will be reduced there will be no compensation to the Client.

7.2. The first change to your booking confirmation is free. For any additional booking change an administrative fee of 300 SEK will be charged.

7.3. It is not allowed to make a cancellation of a change by phone. Any cancellations or changes shall be communicated by email only directly to Cocoon Stockholm at info@cocoonstockholm.com.

7.4. Cocoon Stockholm strongly recommends Clients to have a travel insurance, including the cancellation coverage.

7.5. (Note: some credit cards do offer trip cancellation coverage. Please refer directly to your bank or to the credit card terms and conditions).


8. Arrival/Departure


8.1. The accommodation is usually available for check-in from 3 PM, Stockholm time. Upon the Client’s request and when possible, Cocoon Stockholm may arrange for the accommodation to be available earlier. For this purpose it is important for the Client to know the arrival time as well as any changes that may occur prior to your arrival.

8.2. Any arrivals later than 7 PM, Stockholm time, are subject to a Late Check-in Fee of 200 SEK. For the arrivals after 10 PM, Stockholm time, the fee will be 350 SEK.

8.3. The Late Check-in Fee has to be paid in cash to a Cocoon representative at the check-in.

8.4. In case of late departure may Clients leave their luggage in our Cocoon office at no extra cost during our office hours indicated at www.cocoonstockholm.com. Cocoon Stockholm is not responsible for the Client’s belongings left at our office.


9. Use of Accommodation


9.1. The accommodation shall be used for leisure and business travelers as a holiday rental. Under no circumstances shall the accommodation be used for commercial activities or illegal activity prohibited by the Swedish Criminal Code. 9.2. By accepting this Terms and Conditions, the Client declares that he/she is renting the accommodation for the sole purpose of spending his/her holiday in Stockholm.

9.3. Under no circumstances shall the accommodation be used or rented on a habitual residential basis.


10. Cleaning


10.1. The accommodation is cleaned prior to each Client’s arrival. Bed linen and towels are provided for each guest occupant.

10.2. Upon the check-out, the Client is required to leave the apartment in the same condition as upon check/in and needs to do dishes and through the rubbish out. Failing to do so will Cocoon Stockholm charge a compensation fee of 500 SEK. The fee will be withdrawn from the Security Deposit (see point 3 above).


11. Number of Guests


11.1. The Client shall inform Cocoon Stockholm of the actual number of guests who will occupy the booked accommodation. Unless otherwise agreed by Cocoon Stockholm, only the number of guests indicated by the Client in the Booking Confirmation shall be authorized to stay in the accommodation.

11.2. If the number of guests would vary within one stay, the booking shall be made for the maximum number of guests who will occupy the accommodation.

11.3. The number of guests who may stay in the accommodation shall neither exceed the authorized maximum capacity of the apartment, except for children less than three years old, nor the number of guests for whom the booking was made for.

11.4. Pets are only allowed when permission has specifically been granted by Cocoon Stockholm.

11.5. In the event of any infringement of the aforementioned obligations in this clause 11, Cocoon Stockholm or the property owner are entitled to request the Client to leave to immediately the accommodation. In such case, the Client shall have no right to claim any compensation. If the Client refuses to leave the accommodation, Cocoon Stockholm is authorized to contact the police authorities.


12. Condition and Maintenance of the Accommodation


12.1. The Client shall maintain the property in good condition throughout the rental period. In case of any damage to the accommodation the client is liable to all incurred repair cost or furniture to be replaced.

12.2. Shall the property need a repair period which may result in lost rentals, caused either by the Client or by any other guests staying in the rented accommodation, the Client agrees to cover all costs including compensation to the owner the present market rates for the period during which the apartment will be unavailable.


13. Behavior of Guests


13.1. THE QUIET TIME in the apartment booked IS GENERALLY EVERY DAY FROM 8 PM UNTIL 9 AM (Stockholm time).

13.2. The Client is liable for the correct and decent behavior of all the guests accompanying him/her. Should that person, or any person accompanying him/her not behave in an appropriate and responsible way, Cocoon Stockholm and/or the owner shall be entitled to request that the Client and the people accompanying him/her leave the apartment without the later having any right to claim any compensation.

13.3. Please respect your neighbors. Most of our apartments are located in private and residential buildings. The neighbors are normal working people who need to get up early and go to work every day. Therefore, please limit your noise level in the stairwells as well as in the apartment.

13.4. ANY EXCESSIVE NOISE, LOUD MUSIC AND PARTIES ARE STRICTLY FORBIDDEN! A penalty of 3,000 SEK will be charged for infringing this rule. The fee will be withdrawn from the Security Deposit (see point 3).

13.5. If, however, this would be violated, the neighbors may call police and the Client may be taken to police and be removed from the apartment. In such case, Cocoon Stockholm bears no responsibility for the Client.

13.6. SMOKING IS NOT ALLOWED in any of the apartments. A penalty of 3,000 SEK shall be charged for infringing this rule. The fee will be withdrawn from the Security Deposit (see point 3).

13.7. In case of complaints from the neighbours due to excessive noise, annoying behaviour by any people occupying the apartment or other illegal activities (as referred under point 9 above), Cocoon Stockholm or the owner has the right to expel the Clients from the apartment, whether it is during the day or night, without the right for any refund, and to keep the security deposit when applicable.

13.8. The Client shall pay any fine charged by Police. Cocoon Stockholm has no responsibility in such matters.


14. Environment and energy savings


14.1. Help us save energy and sustain environment: Please make sure that all lights are turned off when you leave the accommodation and that the air-conditioning and heating are set to minimum or switched off whenever possible.

14.2. Also separate glass, cardboard and paper whenever possible. Information about recycling station in the building or the area is normally given in each apartment information sheet.


15. Liabilities


15.1. Neither Cocoon Stockholm nor the owner of the apartment shall be liable for any direct or indirect damages that may arise as a consequence of the use of the apartment by the Client, including without limitation, damages, insurance, losses because of fires, robbery or criminal behavior.

15.2. Cocoon Stockholm mediates in the name of the owner or property manager.

15.3. Any complaint that may arise during the guest stay need to be addressed to Cocoon Stockholm, which will immediately forward them to the property owner or manager of the accommodation.


16. Cocoon Website


16.1. While Cocoon Stockholm does its very best to maintain the accuracy of the information contained on its website, we cannot be held liable for any errors or omissions that may arise, or be responsible or liable for any negligence with regard to information on or accessible from this website.

16.2. Cocoon Stockholm reserves the right to change information published on the site at any time including rates, descriptions and pictures.


17. Dispute


17.1. All disputes between Cocoon Stockholm and the client arising from the above terms and conditions shall be settled by the District Court in Stockholm (Tingsrätten i Stockholm).

17.2. The Terms & Conditions may undergo changes and shall be effective and accepted on-line as from the date of the first booking request.

17.3. These Terms & Conditions do not affect consumer statutory rights.
